Committee on Resident & Student Affairs Guidelines

The Massachusetts Academy of Family Physicians' (MassAFP) Committee on Resident & Student Affairs (CRSA) is comprised of resident and student representatives from each of the residency programs and medical schools in Massachusetts. The five residency programs in the state are entitled to have three voting representatives, one from each of the three residency years. The four medical schools are entitled to have four voting representatives, one from each of the four medical school years. Any resident or student member of the MassAFP may also be a member of the CRSA in a non-voting capacity.

The liaisons shall be selected by each residency program and medical school in a manner of their own choosing, with any disputes resolved by the program director or pre-doctoral director. Generally student representatives will include the Family Medicine Interest Group leaders from each of the medical schools.

The CRSA shall be co-chaired by a resident and student who have been elected by CRSA voting representatives. CRSA meetings shall be held three times each year in September, January and April. There shall be a liaison from the MassAFP Board of Directors appointed by the President, who shall be a non-voting member of CRSA.

The activities of CRSA shall include the following:
  • To plan activities for residents and students in Massachusetts
  • To coordinate efforts between residents and students in the state
  • To discuss issues unique to medical students and family medicine residents
  • To bring information from the MassAFP to residency programs and FMIG groups
Resident and Student Co-Chairs

At the April meeting, CRSA representatives shall elect the resident and student co-chairs. Their term of office shall be for approximately one year, officially beginning at the Annual Business Meeting of the MassAFP immediately after appointment by the MassAFP President.

The responsibilities of the Co-Chairs include the following:
  • Calling and leading CRSA meetings during their terms of office
  • Serving as resident and student representatives to the MassAFP Board of Directors as outlined in Article VII, Section 1 of the MAFP Bylaws
  • Serving as resident and student delegate from Massachusetts at the AAFP National Conference of Family Practice Residents & Student Members following their election
Election Procedures

Resident and student co-chairs will be elected at the April CRSA meeting. Any resident or student member of the MassAFP is eligible to run for co-chair, as long as he or she is a member in good standing. Candidates must submit a curriculum vita and a letter of recommendation March 31st in order to facilitate duplication for the voting members. Candidates nominated at the time of elections may submit their materials to the administrative office of the MAFP after the election. Medical students must submit a letter of recommendation from a faculty member or dean of their medical school; residents must submit a letter from their program director. Each candidate for resident leader shall have three minutes to make a speech before the committee, followed by a question-and-answer session to be led by the co-chairs. Then the committee shall vote on this position. After the winner has been declared, the same process shall be repeated for the position of student leader. Voting members unable to attend the April meeting may submit a proxy to another representative from their respective institution.

Each liaison to CRSA, excluding the co-chairs and advisor, shall have one vote in co-chair elections. Liaisons to CRSA may run for office, and a candidate may vote for himself or herself. The winning candidate shall be elected by majority vote of those present and voting. If there are two or more candidates and no candidate receives a majority of the votes cast on the first ballot, subsequent ballots shall be taken until one candidate receives a majority. The candidates on such subsequent ballots shall be the two candidates receiving the largest number of votes cast on the immediately preceding ballot plus those tying for one of the top two positions. In the event of a tie between two candidates, another vote shall be taken. If this vote still results in a tie, the two co-chairs and the CRSA advisor shall together determine the winner. If a resident or student co-chair is seeking re-election, he or she may not participate in the tie-breaking process.

After the election, the names of the newly elected resident and student co-chairs shall be presented for approval to the President of the MassAFP. If approved by the President, their term shall begin at the next MassAFP Annual Meeting. If not approved by the President, the President or Board of Directors shall appoint a new co-chair, who shall take office immediately after being appointed.
